Clear policies, expectations and client responsibilities.

These policies are in place to protect both client experience and coaching standards. By proceeding as a new client, submitting onboarding, and requesting sessions, you confirm that you have read, understood and accepted the policies below.

Acceptance of policies

By making an enquiry, completing the new client process, accepting the waiver, acknowledging payment instructions, and requesting sessions, you confirm that you have read and accepted these policies and agree to act in line with them throughout your time as a client.

Health disclosure and client responsibility

All clients are responsible for providing complete, honest and accurate information about their medical history, injuries, physical limitations, medications and any other factor that may affect their ability to train safely.

If your medical condition, injury status, medication, symptoms or general health changes at any point, it is your responsibility to tell your Personal Trainer before taking part in any further sessions.

Failure to disclose relevant information, or failure to update the business when circumstances change, may place you at unnecessary risk. Where information has not been declared, the business cannot accept responsibility for injury, illness, accident, aggravation of an existing condition, or any outcome connected to undisclosed information.

The business reserves the right to pause, delay, modify or refuse training where there is reason to believe that exercise may not be safe without further clarification or medical approval.

Booking and attendance policy

Same-day bookings are not available. All sessions must be requested for future availability only.

Session requests are not considered fully confirmed until they have been reviewed and approved by the Personal Trainer where applicable.

Only genuine available times are shown. Existing bookings, blocked time, business availability limits and non-working periods are removed from view.

Clients are expected to arrive on time for all sessions. Late arrival may result in a reduced session length where the remaining schedule does not allow the session to be extended.

Failure to attend a booked or approved session without proper notice may be treated as a missed session and may still be chargeable.

Cancellation and late notice policy

Self-cancellation is not available within 48 hours of the session time. If a late change is needed, direct contact is required.

Sessions cancelled with less than 48 hours' notice may be treated as chargeable in full unless otherwise agreed at the business's sole discretion.

Missed sessions or no-shows may also be treated as chargeable in full.

In limited genuine emergency circumstances, flexibility may be offered at the discretion of the business, but this is not guaranteed and does not remove the general cancellation policy.

Payment policy

Payment is currently handled by bank transfer / BACS only. Clients must use the payment details and payment reference provided during the new client process.

Payment may be required before a first session is confirmed or before training continues, depending on the arrangement in place.

It is the client's responsibility to use the correct payment reference. Incorrect or missing references may delay manual payment matching and may affect booking confirmation.

Automatic payment verification is not currently in place. Payments are checked manually and the business reserves the right to delay, refuse or postpone sessions where payment has not been received or cannot be verified.

Liability and training disclaimer

All exercise and physical activity carry an inherent level of risk. By taking part in training, you acknowledge and accept that no physical training activity is entirely risk free.

Clients are responsible for following coaching instructions, using reasonable care during sessions, and informing the Personal Trainer immediately if they feel unwell, experience pain, dizziness, unusual discomfort or any change in condition.

Except where liability cannot legally be excluded, the business will not be responsible for injury, loss, damage or adverse outcome arising from undisclosed health information, failure to follow instructions, or participation against advice.

Right to refuse, pause or end services

The business reserves the right to refuse, pause, reschedule or end coaching services where this is considered necessary for safety, professional conduct, operational reasons or policy enforcement.

This may include situations involving undisclosed health concerns, repeated late cancellations, non-payment, unsafe behaviour, failure to follow instructions, inappropriate conduct or any circumstance where continuing service is no longer considered appropriate.

Data handling and privacy

Personal details, health information and onboarding responses are collected only for coaching, safety, administration and service-delivery purposes.

This information is handled as confidential business information and is not intended to be shared outside the service except where reasonably necessary for legal, safeguarding or safety reasons.

By completing the forms on this website, you agree to the storage and handling of the information you provide for the purpose of managing your enquiry, onboarding, bookings and coaching relationship.

General policy updates

These policies may be updated from time to time to reflect service changes, legal requirements, operational needs or improvements to the client experience. Continued use of the service after any update will be treated as acceptance of the latest version in force.
